Guild Rules & Policy

Deeprun Pest Control is one of the oldest High End Instance raiding guilds on the Aggramar(EU) Server. Many of our players including the Officers have been on the server from Day 1 and are all very experienced players, even our newer recruits are selected because of their experience and attitude. Our main focus is the raid based instances such as Ulduar and Trial of the Crusader however many of our members participate in PvP, Arena and other server activities as well both serious and fun in their nature. 

In general you will probably find us a lot more relaxed than a great many high end guilds, however that does not mean that we dont have rules which you should follow. Most of these rules are purely common sense so nothing on this page should greatly surprise anyone. The rules have been introduced to make our guild exactly what we always wanted it to be, a fun, cooperative collection of mature, team focused players.


Roles within the Guild

 

Trialist
When we recruit any applicant will start on Initiate-level. This is a Trial-period of a around 4 weeks with the aim of this trial period being to allow both the the guild and the trialist themselves to get a feeling for the membership and if it works or not.  We expect trialists to attend at least 3-4 raids a week, the same as is expected of members.  After a week or so the Trialist should get an indication from an Officer about how the Trial-period is going, the Trialist is however expected to keep a close contact with any Officer during this period to get feedback regarding performance and progress.  A Trialist can be removed from the guild with immediate effect should Officers get serious complaints on their behavior, attitude or if they have been grossly underperformed in a raid however we will usually provide some warning beforehand and give you time to change.  There should not be more than four weeks of trialing if the Trialist have been active during this time however the officers can extend this period under certain circumstances, i.e. the trialist was on holiday during his trial period but gave us forewarning.

The main things we look for of our trialists:
Attendance: We expect the attendance of our trialists to be quite high and show that they are willing to turn up regularly for wipe nights as much as farm nights.
Attitude: New members should ideally fit in well with existing members and show a keen interest in the raids and outside raiding activities.
Skill: Though we dont expect our trialists to be the best gear we do expect to be able to see promise in their abilities.

Once the trial period has been successfully completed the Trialist will then be promoted to Member-status and get a DKP Adjustment of +50 DKP, during the trial period the trialist will be able to earn/spend DKP as per any normal member.  If the trialist has failed they will have a discussion with one of the officers to detail why before being asked to leave the Guild.

Please note that Cross Realm transfer applicants fall under the same trial conditions as any other applicants, if you do not pass your trial period we will not be held liable for any costs incurred for the transfer.

Social Spot
There are several reasons someone can be on a social spot in our guild.  Officers may offer a social spot to someonewho no longer raids actively or to a long time member who come back to the game after a long break etc.  A social spot is an exception and not a right for anyone and we will alway minimise the amount of social members we have.

Social members are in the guild purely for the social aspect of it and are not eligable to sign up for Officer run raids. They can join the open raids such as Karazhan that Members run themselves but you need to give an extra thought to what loot they roll on as the guild's full Members should always have first rights to an item if they need it and the right to a spot in any raid.  A social member obviously also have to follow the rules for Attitude and Behavoir that goes for anyone in the guild.  Any problems inolving a social member can warrant a removal from the guild without any warning/improval time given.  Social members can become full members once again however they need to show a willingness to improve and even then this will be a fairly rare case.


Member:
As a full Member of Deeprun Pest Control there are some responsibilities you have:
Attendance – Members are expected to keep your availability updated on our Raid Sign-up Site.  Members should always tell an officer directly at the acceptance of a raid invite if you have to afk during the raid or need to leave early as this may effect your invite.   We expect Members to attend at least 3-4 raids a week though ofc we do show consideration for holidays, work/exams etc.
Raid preparation – Members are excepted to be ready at invite-time the days they signed up as available for raid. Members should be out of any instances and be fully prepared with consumables – potions, elixirs, flasks, food etc prior to invite time.
Mods and Addons – We do not put a lot of demands on our members in this area but we do have some requests that is for the benefit of the guild.  If the Officers ask members to use a particular addon it is with the raid's best interest in mind we do it and we then expect you to get it and use its functions.  If you are unfamiliar with the mod and do not see how it will be good for you then just ask an Officer who can explain the use of it more. Mods we currently want our Members to use are: Bigwigs
Ventrillo – We need all our Members to use Ventrillo as a communication channel during our raids, it is not necessary to speak or have a mic but everyone must to be able to listen in.
Openess - if any Member has a problem with a decision made by Officers, see issues within the guild they feel the Officers need to adress etc it is everyones individual right and responsibility to take this to the Officers.  We do not want people feeling unhappy or mistreated by Officers or other Members but we are not mind-readers, we need to be told about these things.

There will be times when Officers have to talk to an individual member about a problem/issue that has arisen.  A Member can be given an official warning with a set period of time to improve in the area of the problem, failure to do so might end in being asked to leave the guild.  Any serious breach of the rules of guild conduct may result in a removal from the guild without any improval time or previous warning.  It is Officers and Officers alone that can and will distribute these warnings or removals.

Officers:
Although Beecees is Guild Master overall ultimately the Guild Officers are all given equal responsibility and the officers work as a council overseeing the various decisions that need to be made. Guild Officers are responsible for a great deal of things including but not limited to:

    Recruitment of new members.
    Organising Guild Bank items and handling the legions of requests.
    Organising the various Raid Encounters and scheduling.
    General Strategy and Planning for the likes of Boss Fights.
    Dealing with and be available for any issues that arise with Guild members.
    Administrating the DKP system including the pricing and/or policy of distribution of new items.
    "Official" Cross Guild Co-operation.
    The universal debate of whether Chinese food is better than a Pizza or Indian (hey most of us get home from work and log on to WoW, when else do we get time to eat!)
    A lot of other stuff you probably don't realise!!!

Please note: Unlike a great many other guilds, our Officers get no preferential treatment with regards to Drops, DKP rates etc, the only "perk" is that as we're spending a lot of time organising stuff for raids etc we generally like to get on them!

Communicating with Officers
You can at any time ask for time with an Officer should it be to ask questions about the guild, air a concern or ask for help with a problem. Sometimes we need to get back to you if the matter needs a discussion among Officers before being able to adress it properly but we aim to settle of queries as fast as possible. Officers are available in-game, through PM in the forums and we are also on MSN.

We want everyone to feel they are involved in the guild and its progress. We understand not everyone feel comfortable writing long forum posts with thoughts/suggestions and for this we have the Suggestion Box. It is a form on our homepage and you can use this channel to anonymously submit any thoughts, suggestions or question you might have. We will openly respond to/comment on queries in the forum when it is called for.

Guild Bank
We have a Guild Bank that we use to store donations from Members on. It is largely used for consumable materials but also resistance gear dontations, repair bot donations etc. If you want to donate items you can always ask an Officer what you can contribute with although there is also information regularly provided on the forums. 

 

Raiding

Raid Signup System
We use our own sign up system built by our guild member Ruriko. In the system you fill in your availability day by day for the current week and the week to come.Every member is obliged to do this by every new raid week and keep it updated with comments or changes needed. You also fill in your attunements there. Officers then plan and scheduel raids after the availablilty per day matched to the group we seem to have on that particular day. The raid plan is subject to change if any last minute changes in the group occur.

Raid Times
We raid every weekday and the invite time is 19.30-20.00. We raid till midnight as a general rule but if there is a boss encounter near we will press on, we do not call a raid just before a kill only because it is midnight. If anyone has to leave at any point this needs to be said to an officer at the start of the raid, suddenly leaving a raid without warning may result in a warning or some form of disciplinary action.

Raid Spots
A place in a raid is something that needs to be earned and is not to be expected as a right, for our encounters to be successfull we need everyone on the team to be at their best and those are the people that will be invited. Everyone can have a bad week or evening but the general performance of every Member effects their suitability for a raid invite. Do not hesitate to ask any Officer if there is anything you can improve or with an explanation to why you are today having a bad day etc.

Another thing that we look on for raid spots is also previous attendance. There are noted absences which of course will not effect this but if any Member in general is gone most of the week someone else with a higher attendance will have a more clear spot over them. Any long term absence may lead to new recruiting which is why it is important that you notify any Officer about any extended absences you plan or about other things that can effect your raiding availability such as a busy work schedule etc.

While in the raid
AFK – keep in mind that any AFK will keep 24 people hanging waiting for you to return, this is more of an issue in places such as SSC, TK with new harder encounters. People who go AFK unannounced and without sufficient reason will be given a warning on the first offence, if this conduct continues then, at the officers discretion, a penalty can be applied. Always tell an Officer well in advance if you will need to AFK during the raid.

 

Attitude & Behavior

”Let's just call it” – Only Officers decide when to call a raid. We might switch from one raid instance to another if things are not going well due to whatever reasons and we might call the entire raid for the evening. We have a lot of new encounters waiting for us and wipe nights will be expected. We need the practise and sometimes there are problems we cannot do much about such as sever issues etc. Negative statements in raid chat or on Vent such as wanting to call it or not wanting to wipe on a new encounter is negative attitude and is not doing the raid or guild any good.

Someone makes a mistake – We all makes mistakes. Bad things can and will happen but the point is you act to correct them and do not lash out at other people or yourself because of it. Do not take mistakes personally and more to the point do not take criticism of your mistakes personally, just dont repeat them! Realise what your mistake was and learn from it, sometimes of course its not things that could be helped like game bugs etc. A mistake is a mistake and will happen, however when people react the wrong way to the mistake is not something we particularly want to see happening . Repeatedly doing the same mistake however is a whole different ball game, you do not learn what your doing wrong and do not react then we will be a lot firmer in our respons.

Got a problem? - We are not saying do not air concerns/moans, we do not expect everyone to be happy with every decision the Officers make however moaning for the sake of it is not appropriate. If you have concerns address these in the appropriate manner and they'll be dealt with. Inappropriate moaning ruins the morale of the guild, make your fellow guild members to feel uncomfortable and may start unnecessary controversy. You can at any time ask an Officer for some talk-time or send a pm directly to one in the forums to open up a discussion. Excessive complaining for innappropriate/invalid reasons is not constructive in the slightest and if it becomes too much the Officers can take action.

Be nice - A guild is not just a collection of people out for epic loot...at least not in our view! Guild members should be friendly with each other as a guild is build upon its members, not its loot. Disputes amongst Guild members bring down morale and will be dealt with accordingly by the Officers. Keep in mind that we are a guild full of different nationalities and cultures and that can sometimes effect how what you say is interpreted. The more you put into the guild, the more you will get out of it! Be it raids/instances or just chatting, get involved! Do not be afraid to chat away to others, approach others for advice/help or the appropriate people for any issues that you may have.

 

Loot Rules & DKP

Since epics that a certain class can use are few and far between and since there are a lot of people in a raid, simply rolling on items is too random for our taste. We want the epics that drop to be distributed fairly, but in a more consistent manner than rolling does. To that end, we employ an auction based DKP system where DKP is earned via time spend and bosses killed.

DKP is a commonly used system in order to allow for fair distribution of loot according to the time and effort spent on helping the guild raid. The system that we have now adopted involves a method of earning DKP, for each hour in a 25-man instance 5DKP will be earned In order to qualify for 1hours DKP you must spend at least 45minutes from the start of the raid, the actual start will be called by an Officer when people are gathered and ready to actually begin (i.e. you dont start earning as soon as you're invited). In addition each boss will have a DKP value assigned as well.

First Timers & DKP:
People on their first raid – Trialists - will start without DKP but they will earn it is normally as bosses are killed and time passes, as such they will be unable to bid on something untill they have earned enough DKP however if there are no bidders then they will still be eligable to get the item at the officers discretion as long as it is a valid upgrade however consistently going into negative DKP is not allowed. When the Trialist earns full Member status he/she will get a + 50 DKP adjustment as a bonus for their acceptance into the guild.

Alts in Raids:
From now on Alt Characters will not be eligable for raiding on Officer Run raids unless specifically asked to use their alts. Likewise there will be no main swapping allowed unless the main character is sufficiently geared to be able to come to these instances.

Inactivity and DKP:
One of the things that happened in the past is people going inactive for a while who have earned DKP then returning, grabbing a few items, then dissapearing again. We're not particularly fond of this sort of behaviour as well which is why if you go inactive unexplained or do not raid for a period of 1 Month 50% of your DKP will be deducted, after 2 months the remaining DKP will be removed as well. The Criteria we use to determine if a character is eligable for this punishment is the Last Raid Date of their Main Character, it is your raiding activity that counts here not when you were last logged in.

If you have a valid reason for going inactive then by all means tell us and we will flag you so that reduction does not happen, i.e. you're going on holiday, moving house etc. Valid reasons dont include taking time out to PvP etc.

Primal Nether in Group Instances – this is a guideline for guild runs
Need Rolls: People who are crafting a BoP Item for themselves or a BoE Item for themselves to use or another Guild Member without charge.
Greed Rolls: People who are crafting a BoE item for sale.

Nether Vortices:
These are auctioned out for DKP when necessary, the system we use is you bid for all the Vortices you need for 1 item, i.e. If you were after the Tier 3 Blacksmithing weapon you would be bidding for 5 Nether Vortex. When you win tell the officers how many it is you need, what for and if you require them to be sent to a crafter rather than yourself as in the case of BoE items it is the person who wants the item that bids on the Vortices not the Crafter, the next Vortices that drop are automatically allocated to the auction winner or allocated crafter until they have enough for their item.

Pattern Drops within Raids:
If a Pattern drops in a raid instance we will usually offer it out for DKP Auction unless its unusable by any of our members, bidders on the pattern are expected to use the pattern and not resell it, anyone found to abuse this will be subject to disciplinary action and ultimately removal from the guild. Patterns which are unwanted or unusable are auctioned by one of the guild bank alts and any cash goes towards funding the purchase of items for resistance gear etc.
